Document Agility is an online system for capturing data for a business transaction and using the data to generate the documents and contracts required to memorialize the transaction.

The Document Agility system allows individual users to capture data and generate documents, and also allows groups of Users to collaborate in this process.


Overview of the System
The Document Agility system allows an organization to capture the creation rules and master language that underlies its required documents for complex transactions. With the help of your organization's legal and contract staff, the Document Agility system will capture and maintain this information in a set of document templates and transaction interviews. These interviews are made available to functional staff who use them to capture information about your organization's business transactions. Once data has been input, authorized users can generate documents using the captured information. The system's templates ensure that the correct documents are created for the given transaction and that all information inside each document is consistently accurate.

In addition to using the interview information to create documentation, the data can also be used to view and create standard and customized as well as to integrate with other business systems within your organization.


Users and User Groups
As a user of the Document Agility system, you will have a certain role in the process of capturing transaction information, generating documents and creating reports. The Document Agility system accommodates these different roles using various types of User accounts and User Groups.

There are three types of system Users:
  • Content Creator Users - Users that capture data using interviews, generate documents and view and create reports. Content Creator Users carry out the work for which the system was designed.

  • Content Provider Users - Users that upload and configure templates and set access rights for them. Content Providers set up and maintain the content on which the Content Creator's user experience is based.

  • System Administrator Users - Users that set up and configure user accounts, user groups, roles, and permissions. System Administrator Users set up and maintain the environment and workflow within which Content Creators operate.
Transactions
The fundamental element on which the Document Agility system is based is a Transaction. One transaction represents one business transaction with a client, vendor, or another outside party. For example, your organization may use Document Agility to capture data and generate documents for a sale of a commercial loan product to a new institutional client. In this case, a transaction would be created to represent the sale of the loan product to the new client.

Each transaction in the Document Agility system can contain some or all of the following elements:
  • One or more Interviews - Interviews are online collections of questions that are used to capture data about the transaction. Interviews can use sophisticated logic to control the flow of subsequent questions, so all of the relevant information is captured and erroneous information or mutually exclusive choices are prevented from occurring.

  • Data Set - The Data Set is the central set of information collected for the transaction by all users across all teams using interviews. There is one Data Set for each transaction. The information stored in the Data Set can be used to generate documents, create reports or integrate with other business systems.

  • One or more Documents - Depending upon how your organization's Content Provider set up the transaction type on which the transactions is based, the transaction may have one or more available documents that are required to memorialize the transaction. In the example of a new loan product sale, the documents may include a loan agreement, a promissory note, corporate resolutions, a client services agreement, disclosure forms, etc.
Workflow Concepts
Each transaction created is associated with various workflow elements that describe it movement from initiation to completion. Workflow elements include due date, workflow status, current owner, current user group assignment, notes, ancillary files, and prior versions.


Reporting and Data Integration
As described earlier, the information captured in interviews for each transaction is stored in its Data Set. Across all transactions, the information from these Data Sets is stored in a data warehouse dedicated specifically to your organization. This stored data for all transactions across your organization's client base has great power and value for providing accurate information on transactions and the process of creating them.

This information can be accessed using Document Agility's built-in reporting solution, or it can be externalized to integrate with other business systems and other reporting tools.
